General Information
The Duplicating Department is responsible for providing the Board of Trustees, Superintendent, students, teachers, and administrators with a variety of quality materials. Further defined, these materials include:
- Board materials
- Administrative materials
- Guides, Manuals and Handbooks
- Public relations materials
- Forms
- Other related materials
Organization of Department
The district’s Duplicating Department is under the general supervision of the Director of Purchasing and Business Support Services. The Duplicating Supervisor is the direct supervisor of the department. The supervisor organizes, plans, and supervises all functions of the department.
He also receives all work requests, assigns job priorities, assigns work to all department personnel, and oversees the distribution of the jobs upon their completion. All questions and inquiries should be directed to the Duplicating Supervisor.
Copyright Material
Due to legal restrictions resulting from copyright laws, questionable material will not be duplicated by the Duplicating Department unless WRITTEN PERMISSION is received from the copyright holder. Material received in the Duplicating Department for duplication which appears, if reproduced, to violate the copyright laws will be returned to the originator.
Preparation of Original
To ensure the best reproduction possible from your original, it is requested that you either type or print with a dark (black preferred) color. To prevent bleed-through from the other side of your original, information should be typed on one side only. The original master should be submitted whenever possible, and it should be on white paper. Colored masters should be avoided.
If you would like to take another school’s original form and change it to use it for your school, please list that school’s name on the Duplicating Requisition so we can modify the original art work, already on file, for your school.
Request for Printing
Upon receipt of the printing request, the Duplicating Department will have, under normal conditions, a printing turn around time of five (5) working days. This only applies towards the printing and NOT the layout and typesetting portion of the request.
An exception to the five (5) days turn around period is when a request is for a large order and more paper has to be ordered, or when the request is for large manuals, handbooks, booklets, and programs. Because of the complexity of these projects (layout, printing, and bindery), the request may stretch the time required for completion.
Also, large 11″ x 17″ jobs may be outsourced to be collated, folded and stapled which will necessitate even more time to complete the job. Individuals should check with the Duplicating Department to find out the exact time requirements based on current print shop demand.
Under normal conditions, your established deadline can be met. However, five (5) working days begins from the day the request is received in the Duplicating Department and does not include the delivery time of the Purchasing Warehouse.
Make sure budget numbers are included on all requisitions, since no job leaves the department without these required numbers.
Duplicating Department Forms
Use the “Duplicating Requisition” (#6305) for all printing requests, one request per form.
When ordering Course Contracts use the forum number not the course number. Use map ordering form #5101 when ordering maps. Multiple maps, ordered at the same time, are to be ordered in quantities of 50/pad on the same Map Order Form.
The Learning Centers can attach a Course Contracts – List of Courses to a Duplicating Request when they order more than one contract at a time.
Understanding the Forms Catalog
The Catalog has a listing of all the district forms in NUMERICAL and ALPHABETICAL sequence, and is listed on the Duplicating Department web site.
DESCRIPTION
is the name of the form and should always be included on your order request. Never use “see attached.”
DUPLICATING REQ
is used for printing all stock and non-stock requests. There is certain information that is needed to complete this form. Make sure your requests contain all requested information.
(English & Spanish)
means the form contains both English and the Spanish translation.
(Specify: English or Spanish)
indicates there are two separate forms. One is only English and the other is only Spanish. Indicate which one you want since they both have the same form number but have a
E
or
S
after it.

Once you’ve downloaded the Forms Catalog.
- Open the document
- Go to edit – find
- Type in a word from the title of the form you are looking for (i.e. – health)
- Use “find next” to search all the forms for the title you are looking for
The form number will be on the far left side of the document.
