Mail Preparation Guidelines for the Duplicating Department

The following will make your experience with the duplicating process as productive and accurate as possible. Given our equipment, timeline, and experienced staff, we should be able to produce the printing and mailing that you envision. Our goal is customer satisfaction within the parameters available to us. We will work with you in the planning process.

The following guidelines will assist you as you work through your project. PLEASE do not hesitate to call the Duplicating Department to assist you with your complicated projects. Come in and let’s review it together. It helps to discuss format, sequence of pages, number of pages, if pages will be printed in portrait (vertically) or in landscape (horizontally), if the piece will require folding before insertion into the envelope, timelines, postage, and so on.

We can work together to resolve issues in the most efficient and cost effective way. For address lists, call IT Operations to request that they download the mailing list files to the Duplicating Department. (Note that we do not use labels).

  1. When the request is complete, we will return your requistion, extra mailing pieces, art work, and non certified USPS approved mail to you. Remember: If there is an indicia (Postage imprint) printed on your mailing pieces returned to you, DO NOT mail these pieces unless they have been reposted with the correct postage.
  2. The desired timelines required for print/mailings for 1 or 2 pieces of paper either stuffed into an envelope or folded, tabbed, and addressed for 2,000 total pieces is approximately 3 to 4 days. If the mailing has many sheets, the time required to complete and ready for mailing would be up to 14 days, depending on the requirements of the specific mailing.
  3. First Class mail taken to the Post Office should be delivered the following day.
  4. Bulk mail taken to the Post Office is usually delivered 72 hours after it is received at the Post Office; however, the mail is frequently processed before the 72 hour deadline.

Types of Postage

  1. PRESORTED FIRST CLASS – 500 MINIMUM FOR DISCOUNT. CAN HAVE CUSTOMIZED INFO such as report cards. LESS THAN 500 will go through Mail Services as regular First Class mail.
  2. STANDARD (BULK) – 200 MINIMUM. Must have all the same contents in each mail piece and cannot have any individual names within the contents of the envelopes.
  3. STANDARD NON-PROFIT – 200 MINIMUM. Must have all the same contents in each mail piece, cannot have any individual names, and no advertising or selling. ASB material acceptable.
